Set up recurring invoices

Bill a retainer or a maintenance plan on a schedule, with each invoice drafted for you to review.

A recurring project bills a set amount on a schedule, which suits a retainer, a maintenance plan or a monthly fee. Involets drafts each invoice for you. It never sends one: every invoice waits as a draft until you review it and send it yourself.

Set one up

  1. Press New project in Projects, name it and choose the client.
  2. Choose Recurring, then the Amount per invoice (before tax) and how often it repeats: weekly, monthly or every few days.
  3. Pick the date of the First invoice. A monthly schedule keeps that day of the month, or uses the last day of a shorter month.
  4. Choose when it ends (never, after a number of invoices, or on a date), the payment terms, and the words on the invoice line. {month} becomes the month, for example October 2026, and {period} the dates it covers.
  5. Press Create project.

Each invoice is dated the first day of its period and numbered like any other. Your tax rate from Settings is added. If the first date is already past, the invoice for the period you are in now is drafted straight away.

When a draft is ready

You get an email and a notice on the desk, and Overview shows the drafts waiting. Open the draft from Invoices, check it, download the PDF and send it, then mark it sent. Both notices can be switched off in Settings → Notifications.

Manage the schedule

The project's page shows the schedule: the amount, the next invoice, how many have been drafted and when it ends.

  • Pause stops new drafts until you press Resume.
  • Skip next leaves the next period without an invoice.
  • Create the next one now drafts the next period's invoice early, dated its own first day.
  • Edit schedule changes the amount, the dates or the words. Drafts already made stay as they are.

After a pause, only the period you are in is drafted. Periods with no invoice are listed on the project's page with Create the ones I missed. A period is never invoiced twice.

Recurring projects do not track time, so they are not offered to the timer.
